Before You Start
A destination wedding is really two things at once: a wedding and a group holiday. Plan it like both and it gets much easier. If you haven't decided yet whether to go away at all, start with our destination vs hometown checklist.
Step 1: Agree on Budget and Guest Count Together
These two numbers decide everything else. In a destination wedding, guest travel and stay can take a big share of the budget, so decide early who pays for guests' travel and rooms: you, your families, or the guests themselves.
Step 2: Choose the Place
Think about season, how easy it is to reach, and the kind of photos you want. Our guide to the best destination wedding locations in India compares palaces, beaches, hills and backwaters.
Step 3: Shortlist Venues and Visit One
- Ask for room counts and whether you can block rooms for guests
- Ask about rules: music cut-off times, fire, outside decor, outside caterers
- Ask about a backup space for rain, wind or heat
- Visit at least once if you can, ideally at the same time of year as your wedding
Step 4: Lock the Key Vendors
Venue first, then photography and film, then decor and catering if they aren't in-house. Ask every vendor from out of town how they handle travel, stay and meals, and get it in writing. Our list of questions to ask a wedding photographer covers the photo side.
Step 5: Tell Guests Early
Send a save-the-date as soon as the place and dates are fixed. Guests need time to take leave and book travel. Include:
- Dates and location
- Nearest airport or railway station
- Where they'll stay and who pays
- A rough idea of the events and dress codes
Step 6: Plan the Guest Experience
- Pickups from the airport or station
- A welcome note in each room with the schedule
- Food between events, especially for kids and elders
- Rest time. Back-to-back events wear everyone out
Step 7: The Non-Money Things That Matter Most
Couples often focus on cost and forget these:
- Elderly guests: stairs, distances, heat, medical help nearby
- Weather: a real backup, not a vague promise
- Local rules: permissions for music, fireworks or drones
- Your energy: leave some time for just the two of you
- Who's in charge on the day: appoint a point person so you aren't answering every question
Step 8: Arrive Early
Reach a day or two before the first event if you can. It gives you time for a final walk-through with the venue, your photographer and decorator, and a little rest.
From our side: we travel for weddings across India. Before the day, we go through the venue layout, light at each event time and the backup plans with you, so nothing on the day comes as a surprise.
