Privacy Policy

1. Information we collect

We collect information in three ways: what you give us directly, what we collect automatically when you use our site or tools, and what we receive from third-party platforms you interact with us through.

a) Information you give us directly

• Enquiry & proposal details — when you use our instant quote tool (estimate.gingerfilms.in) or contact us, we collect your name, phone number, email address, wedding date(s), city/venue, guest count, and your selections around crew, deliverables and budget.
• Communications — messages you send us over WhatsApp, Instagram (DMs and comments), email, or phone, including any details you choose to share about your event.
• Contract & billing details — once you book us, we collect the information needed to raise invoices and estimates (billing name, address, GSTIN if applicable), and payment confirmation details from our payment processor (see Section 5). We do not collect or store your full card, UPI or bank credentials ourselves — these are handled directly by our payment gateway partner.
• Content you share with us — reference photos, mood boards, or other files you send us while planning your shoot.

b) Information collected automatically

• Usage & device data — pages visited, time on site, referring URL, browser type, device type and approximate location (city-level, from IP address), collected via standard web analytics.
• Advertising identifiers — when you interact with our ads or site, tools such as the Meta Pixel and Google Ads track events like page views, quote-tool progress and form submissions so we can measure and improve our advertising. See Section 4.

c) Information from third parties

• If you reach us via Instagram or Facebook, Meta shares limited profile and message information with us as the account you're messaging.
• If you're referred by a vendor, venue or past client, we may receive your contact details from them so we can follow up — always with the expectation that you consented to the introduction.

2. How we use your information

We use personal data for the following purposes, each grounded in either performing our contract with you, our legitimate business interests, your consent, or a legal obligation:

• Preparing and sending accurate quotes, proposals and invoices.
• Planning, coordinating and delivering your wedding shoot — including sharing relevant details with the freelance photographers, videographers and editors we engage for your date.
• Communicating with you before, during and after your event, by phone, email or WhatsApp.
• Processing payments and maintaining our financial and tax records.
• Marketing — including retargeting ads, lead-generation campaigns, and newsletters — where you have not opted out.
• Improving our website, quote tool and services based on aggregated usage patterns.
• Complying with Indian tax, accounting and other legal requirements.
• Detecting and preventing fraud, spam and abuse of our systems.

3. Wedding photos, films & portfolio use

As a wedding photography and film studio, the photographs and videos we capture at your event are central to our work, and this deserves its own explanation.

• Photos and films from your wedding may include images of you, your family, and other guests present at the event. We are engaged by the couple (or their family) as our client; guests captured incidentally in candid coverage are not separately contacted for consent, consistent with standard event-photography practice.
• We typically use a selection of images and short clips from real weddings — anonymised where practical — in our portfolio, on gingerfilms.in, and on our Instagram and YouTube channels, as part of our marketing. This is a standard, disclosed part of how we operate as a studio, and is reflected in our service agreements.
• You can opt out. If you'd prefer your wedding photos or films are not used in our portfolio or on social media, tell us in writing (email is fine) before or after your event, and we will exclude your coverage from future public use and remove existing public posts we're able to take down within our control. This does not affect delivery of your own private gallery or films.
• Raw, unedited footage and files are retained for a limited working period after delivery (for revisions, reprints, or as a backup) and are not shared publicly.

4. Cookies & tracking technologies

Our website and quote tool use cookies and similar technologies (such as browser local storage and pixel tags) to:

• Remember your quote-tool progress so you don't lose your place.
• Understand how visitors use our site (analytics).
• Measure and optimise our Meta (Facebook/Instagram) and Google advertising, including conversion tracking for enquiries and bookings.

Most browsers let you block or delete cookies through their settings. Doing so may affect how well parts of our site — especially the instant quote tool — work for you. Where required, we honour applicable consent choices (for example, Google's Consent Mode) for analytics and advertising cookies.

5. Who we share information with

We do not sell your personal data. We share it only as needed to run our business:

Any external party handling data on our behalf is expected to protect it and use it only for the purpose we've engaged them for.

6. How long we keep information

We keep enquiry and booking information for as long as needed to deliver your event coverage, respond to any post-delivery requests, and meet our accounting and tax obligations under Indian law (generally several years after the financial year in question). Marketing contact details are kept until you unsubscribe or ask us to delete them. Portfolio use of wedding imagery may continue until you ask us to stop, per Section 3.

7. How we protect your information

We use reasonable administrative and technical safeguards to protect personal data against loss, misuse and unauthorised access — including restricting access to client information to the team members who need it, and relying on established, secure third-party platforms (Meta, Google, our payment gateway) for messaging and payment processing rather than handling sensitive data ourselves. No method of transmission or storage is completely secure, and we can't guarantee absolute security, but we take this responsibility seriously.

8. Your rights & choices

Under Indian data protection law (including the Digital Personal Data Protection Act, 2023, once fully in force, and the Information Technology Act, 2000), you have the right to:

• Ask what personal data we hold about you, and request a copy.
• Ask us to correct inaccurate or incomplete data.
• Ask us to delete your data, subject to our legal and accounting retention obligations.
• Withdraw consent for marketing communications or portfolio/social-media use of your images at any time.
• Raise a grievance about how we've handled your data (see Section 12).

To exercise any of these rights, email us at hello@gingerfilms.in. We'll respond within a reasonable time, and in any case within the timelines required by applicable law.

9. Children's data

Our services are directed at adults planning their wedding, not at children. Children may appear incidentally as guests in event photography and film, as described in Section 3. We do not knowingly collect personal data directly from children through our website or quote tool.

10. International visitors

We work with couples celebrating destination weddings outside India, and our site may be visited from anywhere in the world. Personal data we collect is generally stored and processed in India, and by using our site or services you understand your information may be transferred to and processed in India.

11. Changes to this policy

We may update this policy from time to time as our services, tools or legal obligations change. We'll update the "Last updated" date at the top of this page when we do. Significant changes affecting how we use your data will be communicated directly where practical.
